What goes wrong when contracts live in Excel, SharePoint and personal drives?
Before Contractify, contract storage was anyone's guess. Some contracts lived on individual drives, others on SharePoint, others in Excel files. That was workable with one entity, but unmanageable with several. We kept running into the same issue: needing the latest version of a contract and discovering that, in the end, nobody had actually saved it. Hitting that wall often enough is what pushed us to look for a better solution.
Why did 123inkt choose Contractify over other contract management tools?
We looked at several other providers, and each time something was missing. We didn't want our entire contract process forced into one rigid system. What we needed was a strong, central place to store our documents properly. Most other vendors offered one fixed setup with little room to adapt it to how we actually work. We came across Contractify through a referral: a contact of ours, André, was already using it, and his experience convinced us it would be a good fit.
How has the partnership with Contractify evolved over the past year?
What stands out two year and a half into using Contractify is that it keeps evolving with us. We now have a direct line to give input, and we're increasingly able to shape the system around our own way of working, from which features matter to us to what we'd want to see next. That kind of back-and-forth matters when you're managing contracts across multiple entities, because what works for one team doesn't always work for another.
What contract mistakes has centralizing with Contractify prevented?
We haven't run into any major contract disasters, more that people occasionally forgot to fill in certain fields, or a contract ended up visible to more people than intended. Nothing dramatic, and nothing that wasn't easy to fix. That alone tells us something: having one structured system in place is quietly preventing the bigger mistakes that come from working across scattered Excel sheets and shared drives.
How does 123inkt use Ada to save time on contract management?
Ada, the AI Contract Analyst from Contractify, is an enormous help. It already auto-fills a large number of fields for us, although today that's limited to specific contract types. What we're really looking forward to is being able to search across all our contracts at once: flagging contracts tied to a specific entity that isn't compliant, or surfacing contracts where required fields were left empty. Instead of going through every contract one by one, Ada will let us pull out exactly the ones that need attention. That's going to save us a significant amount of time.
Where is contract management headed over the next ten years?
Contractify is marking its tenth anniversary, and looking ahead, we expect AI to become a genuinely important player in contract management. It can take over a lot of what people currently do manually, and let's be honest, people are prone to mistakes in this kind of work. AI isn't flawless today either, but it's likely to keep improving fast. For a business like ours, managing contracts across several entities, that means less manual checking and a lot more certainty that nothing slips through the cracks.
